Good check-in instructions answer the question: “Can I get inside without guessing?” Everything else is secondary until that is solved.

Send instructions before travel day. Repeat the access section on arrival day. Put the same content in your digital guest guide so one link stays canonical.

Copyable framework

Use headings exactly like this in your message or guide:

Address

  • Street, number, postcode, city
  • Unit/floor/door label (“3rd floor, door on the left marked ‘B’”)
  • Map link — drop the pin on the entrance, not the city centre

Arrival time

  • Check-in from [time] (early luggage drop: yes/no)
  • If early, where to wait / what is not yet available

Parking

  • On-street zones, permit requirements, garage address, height limit
  • Cost per hour or day
  • Where not to park (fines happen)

Finding the entrance

  • Photo of the building from the street
  • Note landmarks (“blue shutters, next to the bakery”)
  • Intercom name or buzzer to press

Access

  • Lockbox location + photo
  • Code format (include # if needed)
  • Smart lock app name if applicable
  • What to do if code fails → [backup plan]

Inside

  • Where keys are if separate from lockbox
  • Light switch if hallway is dark
  • Wi-Fi: network + password

Contact

  • Your name
  • Phone / WhatsApp
  • Response hours (“I usually reply within an hour until 10 p.m.”)
  • Emergency maintenance number if different

Late arrival

  • Noise consideration for neighbours
  • Self check-in still works / lights left on
  • Do not knock on neighbours’ doors for help

Photos worth taking once

  1. Street view of the building
  2. Door or gate you expect them to use
  3. Lockbox or keypad close-up
  4. Where spare key is hidden (if you use one — prefer not to rely on this alone)

Common failures

  • Assuming they know the neighbourhood — “Near the church” fails at night.
  • Code sent in one message, address in another — guests search messages while standing outside.
  • Outdated code — update every place the code appears the same day you change it.

Pair this with what to include before they reach the property and, if you use tech access, smart lock vs lockbox.

One paragraph example (adapt freely)

Check-in is from 3 p.m. Address: Calle Example 12, 3rd floor, door 3B (map link). Parking: white bays on Calle Example, max 2 hours 8 a.m.–8 p.m.; use the public car park on Avenida Central for overnight. The building is grey with green balconies — photo attached. Code for the street door: 4521#. Lockbox is on the railing to the left of door 3B; code 8899. Wi-Fi: Network “ExampleGuest”, password “welcome2024”. Call +34 600 000 000 if the lockbox does not open — backup code sent on request. Quiet after 10 p.m. Checkout 11 a.m.

Short. Repeatable. Tested by a friend who pretends they have never been there.
