Cluttered pile of paper notes and old welcome binders on a desk

A welcome book fails quietly. Guests do not complain about the binder — they message you at 11 p.m. or leave a vague review about “communication.”

1. Too much information

The encyclopaedia nobody opens. If everything is important, nothing is.

Fix: Checklist → prioritise arrival, Wi-Fi, rules, checkout. Move nice-to-know to optional sections.

2. Outdated recommendations

The bistro closed two years ago. Guest walks 20 minutes for nothing.

Fix: Review local tips quarterly. Date your last review in a host-only note.

3. Wi-Fi buried deep

Still the #1 support ticket.

Fix: First screen or bold section title “Wi-Fi”. See Wi-Fi guide.

4. Unclear check-in instructions

Assumes guest knows which door in a block of identical doors.

Fix: Photos. Check-in template.

5. No emergency information

Guests forgive missing restaurant tips faster than missing “what if water pours from ceiling.”

Fix: Emergency numbers + host urgent line + fuse/water shut-off if relevant.

6. Rules that sound hostile

ALL CAPS NO FUN EVER.

Fix: State rule + one-line reason. Guests comply more when treated like adults.

7. No translation for international guests

English-only in a city where 40% of your bookings are German families.

Fix: Key sections in second language or full guide translation.

8. Poor mobile formatting

PDF zoom hell on a phone in bright sunlight.

Fix: Digital guide with readable type and headings.

Map links to wrong city, blog URLs moved.

Fix: Click every link before high season.

10. No update process

One person’s memory is not a system.

Fix: Co-host access, shared doc, or tool with edit history. Change lock code → update guide same hour.

11. Information only in the platform chat

Partners and late joiners never see it.

Fix: Canonical link in guide sent to booker + “share with your group.”

12. Treating print and digital differently

Two versions diverge. Guests trust neither.

Fix: One source; print points to QR. Digital vs print.
